Time recording redefined at the Rheinische Hochschule

The Rheinische Hochschule Köln (RH) is a state-recognized university in private non-profit sponsorship. It offers 20 full-time, dual and part-time Bachelor's and 20 Master's degree courses in a wide range of subject areas. With around 6,500 students, the Rheinische Fachhochschule Köln is one of the largest educational institutions in Cologne.

Since 2018, we have been a proud implementation partner of the Rheinische Fachhochschule for a large number of digitalization projects, including marketing websites, HR platforms and time recording systems. These projects are primarily based on the tried-and-tested Drupal or Typo3 systems.

Identifying and exploiting digitalization potential

In many medium-sized companies, processes in recruiting and administration are still completely or partially analog.

Since 2018, we have been supporting RFH in identifying the potential for digitizing business processes and simplifying them with the help of individually tailored software applications.

As part of the optimization of administrative processes, the area of time recording turned out to be the ideal area for optimizing existing processes.

The starting point

As in many other organisations, staff time recording was filled in on paper and handed in monthly. The process required the times to be checked, approved and recorded for further accounting in several different departments.

Instead of the old paper trail, staff can now record their times online, simply and flexibly. Handing in physical documents is no longer necessary. Times can be booked directly against the appropriate cost centres.

Optimising and automating processes

Statutory and additional public holidays are calculated and stored automatically for each month.

Key figures for staff, cost centres and departments are available at a glance, which also allows conclusions about the costs of individual sub-projects.

When documents are awaiting approval, the people responsible are notified immediately on their dashboard. Inconsistencies and input errors are prevented through input validation and statutory rules.

Managers only see their own staff. The HR department is supported by the system and naturally holds a special role so it can carry out its work in full.
